Society Board Meeting Minutes
9 December 2024

 
Call to Order -
President Anne Billeter called the meeting to order at 9:31 am. Directors in attendance were Frank Marksman, Vice President; Kim Thurman, Interim Treasurer; Ros Lyne, Trustee; Jeanne Hoadley, Education Director; Loretta Barker, Membership Director; Rich Miles, Technology & Data Management Director; Valerie Sanders, Treasurer; and Ann Baracker, Volunteer Director. A quorum was thereby established.
 
Approval of Minutes
2024-83 Rich Miles moved to approve the Minutes of the November 11, 2024, meeting of the Board of Directors. The motion was seconded. It was approved by a unanimous voice vote.
Treasurer’s Report -   Total Income                           $9042.48
                                      Total Expenses                        $5665.27
                                      Net Operating Income           $3377.21
                                      Net Income                              $3386.30
2024-84 Loretta Barker moved to approve the Treasurer’s Report as presented. The motion was seconded. It was approved by a unanimous voice vote.
There was discussion about how to track income related to the upcoming quilt book. No action was taken.
Kim reported she had received a $5,000 donation to help reduce the anticipated 2025 budget deficit. She is holding the check until January.
 
NGS REPORT -
Matt Weismantel was not present, but he submitted his report.
 
NEW BUSINESS

Anne Billeter reported that she had received a request to allow the membership fee to be paid using monthly payments.
2024-85 Rich Miles moved to authorize the use of the Connie Miller Memorial Fund to pay the dues for members asking for a monthly option in 2025 while a committee reviews possible options. The motion was seconded. It was approved by a unanimous voice vote.
Anne appointed Loretta Barker, Valerie Sanders, and Kim Thurman to serve on the committee.
 
UNFINISHED BUSINESS

Adjusting the Bylaws and Policies
was postponed until January.
 
REPORTS
– In addition to the attached reports, the following was addressed.
President – Anne reported she had contacted all the current Directors, except Pam Olsen, about serving another year in the same position. All agreed. She is also looking for a proofreader for the E-news and Rogue Digger.
Vice President – Frank shared that the Autzen Foundation had said no to his request to fund solar for the Library.
Volunteer – Anne Barracker said that Rogue Retreat has agreed to provide all the food for the Volunteer Appreciation Lunch for less than $400. They will also provide servers.
2024-87 Ann Baracker then moved to donate $100 to Rogue Retreat as a thank you. The motion was seconded. It was approved by a unanimous voice vote.
Technology – Rich reported the Hellgate scanning project is complete.
Membership – There was discussion about the membership payment process, particularly when someone wishes to join or renew in person. No action was taken. Loretta will discuss with the Membership Committee.
Education – Jeanne said Genealogy Week 2025 will be September 22-27. Chloe Sternola will coordinate class mentors for practice sessions. Kim offered to teach a Google Maps class.

                        Membership - Tuesday, January 21, 1:30 pm, Jeanne Hoadley – NEHGH 10 Million Names Project
 
VOLUNTEER RECOGNITION 
- Saturday, January 11, Noon (Library Closed!)
 
ADJOURN – Anne Billeter adjourned the meeting at 11:30 am.
