Society Board Meeting Minutes

CALL TO ORDER
The meeting was called to order at 9:38 am by President Anne Billeter. A quorum was declared. In attendance: Cathy Ullrich, Anne Billeter, Ann Baracker, Frank Marksman, Valerie Sanders, Loretta Barker; via Zoom Ros Lyne, Matt Weismantel; Guests Pam D’Allura, Dennis Stevens. Excused: Kim Thurman, Rich Miles, Jeanne Hoadley

APPROVAL OF MINUTES
Cathy Ullrich shared a get-well card for a librarian. She also informed the Board that she will be absent from the September member meeting. 
2025-38 Frank Marksman moved to approve the July 2025 minutes as amended by Anne Billeter and Kim Thurman.  Valerie Sanders seconded. Motion carried.
TREASURER’S REPORT
2025-39 Loretta Barker moved to approve the Draft August Treasurer’s Report. Ann Baracker seconded. Motion carried.

Total income                   $ 7,275.87
Total expense                 $ 4,644.40
Net operating income   $ 2,631.47
Net income                     $ 3,640.82
Actual to Budget           $19,800.64 to $4,180
A discussion ensued as to reformatting the “actual to budget” for clarity. Kim Thurman and Valerie Sanders will follow up.

Matt Weismantel highlighted upcoming NGS events. He was able to locate information for Jeanne Hoadley regarding beginner DNA courses.

UNFINISHED BUSINESS (to accommodate guests)

Proposal for Foyer
Pam D’Allura presented ideas on updating the foyer. The Board took a “field trip” to the foyer to get a visual on Pam’s vision. Discussion ensued about the pros and cons of the size and placement of elements.
2025-40 Frank Marksman moved to authorize Pam D’Allura to acquire three 2’ x 3’ frames for the foyer not to exceed $200. Loretta Barker seconded. Motion carried.

2025-41 Ann Baracker moved to authorize Pam D’Allura to purchase a three-shelf bookcase, a smaller bulletin board than what is currently in the foyer, and four sets of brochure/business card holders as discussed and presented. Frank Marksman seconded. Motion carried.
NEW BUSINESS 

Insurance Committee Recommendations
It was not recommended that we acquire cyber insurance at this time. 
2025-42 Valerie Sanders moved to approve the recommendation from the insurance committee to increase the deductible to $2500 and  add the Participant Accident Insurance. Frank Marksman seconded. Motion carried.
Budget Committee Recommendations
There was no additional feedback from the Board. With the inclusion of the Annual Distribution from the Endowment Fund, the budget is in the black.
2025-43 Frank Marksman moved to authorize taking the annual distribution of the Endowment Fund for the 2026 budget. Loretta Barker seconded. Motion carried.
 
2025-44 Valerie Sanders moved to approve the proposed budget for 2026. Ann Baracker seconded. Motion carried.
Nominating Committee
Anne Billeter is appointing Lynne Hunter and Chloe Sternola to the Nominating Committee.
2025-45 Loretta Barker moved to approve Anne Billeter’s appointment of Lynn and Chloe to the Nominating Committee. Valerie Sanders seconded. Motion carried.
REPORTS 
President see report.
Anne Billeter reported that the late Betty Miller’s collection is more vast than expected. Some items will be sold at the upcoming sale in September. 
Vice President none
Trustee see report.
Ros reported that the numbers were down for July but anecdotally seem to be ticking up in August.
Past President  see report.
Abe Books has been charging $25 per month, but offered a new lower cost plan based on fewer than 15 books selling per month.

DIRECTORS
Volunteer see report.
Ann Baracker noted that our volunteer numbers are static. Genies are contacting all new members with a 50% response. Genie volunteers are up to 14 or 15. One-on-one mentoring is in development.
Technology and Data Management none
Membership  see report.
Education see report.
A brief discussion ensued about updating PayPal to DonorSnap to implement next year, if money is available in the budget. DonorSnap is software that would track membership and donations. PayPal is a method of making payments and donations. It might be possible to drop PayPal. It could continue to be a payment option unless the society chooses otherwise.
