Society Board Meeting Minutes

CALL TO ORDER
The meeting was called to order at 9:31 am by President Anne Billeter. A quorum was declared. In attendance: Anne Billeter, Frank Marksman, Cathy Ullrich, Ros Lyne, Jeanne Hoadley, Loretta Barker, Rich Miles; via Zoom: Valerie Sanders, Kim Thurman, Matt Weismantel; Guest: Patt Herdklotz.
APPROVAL OF MINUTES
Cathy Ullrich shared a note from the DAR thanking RVGS with a $250 donation for the use of RVGS’s facilities.
2025-45 Frank Marksman moved to approve the August minutes as written. Loretta Barker seconded. Motion carried.
TREASURER’S REPORT
2025-46 Frank Marksman moved to approve the Draft August Treasurer’s report as the final version. Rich Miles seconded. Motion carried.
2025-47 Frank Marksman moved to approve the September Treasurer’s report as written. Kim Thurman seconded. Motion carried.
A discussion ensued on how to represent the year-to-date budget and actual expenditures in a more easily understood format.

NEW BUSINESS
Nominating Committee Report
Anne Billeter reported on behalf of the Nominating Committee the tentative slate of Officers for 2026 to be presented at the September Member Meeting:
President - Frank Marksman
Vice President - Ros Lyne
Treasurer - Valerie Sanders
Secretary - Cathy Ullrich
Trustee - Patt Herdklotz
Librarian/Volunteer Conflict of Interest and Solicitation Policy - see attached.
2025-48 Frank Marksman moved to approve the Library/Volunteer Conflict of Interest and Solicitation Policy as amended. Kim Thurman seconded. Motion carried.
Research Business Card Policy see attached
2025-49 Rich Miles moved to approve the Research Business Card Policy as amended. Valerie Sanders seconded. Motion carried.
Board Retreat
A Board retreat was scheduled for Wednesday, November 5th, from 9 am to 3 pm at the Lake Creek Historical Society.
Family History Collection
It was agreed by Board consensus to allow access to Family History Collections, such as Colleen Eccleston, to be publicly accessible on the RVGS website. Discussion ensued about a policy for the acceptance of family history collections. Kim will craft a policy.
Financial Review
A financial review for 2025 has not been activated. Ros Lyne and Valerie Sanders will follow up.
UNFINISHED BUSINESS
Foyer
A discussion of a glass curio cabinet and signs for offices ensued and was tabled.
Background Checks
Valerie Sanders reported on the cost of a background check for Treasurer and Cashier. Cost ranges between $20 and $35. Kim Thurman will draft a policy on who and how the background checks will be processed.
Ending Mentor Program
The Mentor Program will continue under the auspices of Genies and Coaches. Jeanne Hoadley will help if requested.

Frank Marksman updated the Board on financing available for solar energy from both People’s Bank and Evergreen Bank. He will follow up. Also, Frank brought the Board up to speed on DonorSnap, and its ease and flexibility of use.

Ros Lyne noted that there were fewer volunteer hours in August.
