RVGS BOARD MEETING MINUTES
9 March 2026

CALL TO ORDER
President Frank Marksman called the meeting to order at 9:31 am. In attendance: Kim Thurman, Meghan Thompson, Frank Marksman, Valerie Sanders, Anne Billeter, Jeanne Hoadley, Ann Baracker, Loretta Barker; guests: Katie Haugse, Dennis Stevens, Cassie Rose; via Zoom Matt Weismantel, Cathy Ullrich; absent: Patt Herdklotz, Rich Miles

SECRETARY’S REPORT - see report
2026-13 Kim Thurman moved to approve the February minutes as written. Meghan Thompson seconded. Motion carried.
TREASURER’S REPORT - see report
2026-14  Kim Thurman moved to approve the January corrected Treasurer’s Report. Anne Billeter seconded. Motion carried.
February’s Treasurer’s report was reviewed and tabled until April pending corrections.

SPECIAL GUEST - Cassie Rose from RSVP presented a short program on how RSVP (Retired Senior Volunteer Program) may be able to assist RVGS with volunteer projects.

  • Past President - No report
  • Education - See report. Ann Baracker reported that the Colleen Eccleston collection on our website will need to be operational by March 15th for Mary Tsui to prepare her program. Frank will follow up with Rich; Ann will check if Mary can extend her deadline a week out.
  • Library - See report . Anne Billeter stated that the Applegate Historical Society lost their court case and the building will need to be moved.
  • Membership - see report. Loretta Barker said the numbers in the report do not match her files. She will be updating the membership form. Ann Baracker is collecting data on why people have not renewed, but the data has not yet been tabulated.
  • Technology - No report. The Newspaper Archives is still down as the site was attacked and must be rebuilt. They are hoping by the end of March. We will be credited for the downtime.
  • Volunteer - see report
  • eNews - articles due by 20th of the month
  • Rogue Digger - No report

UNFINISHED BUSINES

Donor Snap -
Discussion ensued about which level might be best for RVGS’ needs.
2026-15 Kim Thurman moved to appoint Frank Marksman to chair the implementation committee for Donor Snap. Meghan Thompson seconded. Motion carried.
2026-16 Kim Thurman moved that RVGS invest $200 in the set-up fee for Donor Snap. Anne Billeter seconded. Motion carried.
Quilt Book -
Katie Haugse mentioned the Quilt Committee is exploring options for printing the book. Lucky Valley seems the best option right now and the one the committee will use.
2026-17 Kim Thurman moved to extend the deadline of the quilt book’s fundraising through the end of 2027. Anne Billeter seconded. Motion carried.
60th Anniversary -
Possibilities were discussed with the 15th of September mooted for an open house with an ice cream social. This timeline could lead up to Genealogy Week with promotion in eNews. The budget is $600 in the hospitality line item. A Photo Contest is also planned. Displays in the Medford Public Library will also be used to promote RVGS events.

Changing Banks -
Valerie Sanders and Kim Thurman reported that People’s Bank is the best option and is most willing to work with non-profits. 
2026-18 Kim Thurman moved to change RVGS’ banking from Banner Bank to People’s Bank. Ann Baracker seconded. Motion carried.
Quorum for April Meeting - 
As of this writing, there will be a quorum.

Book Committee - 
Anne expressed concerns over the inoperable electronic sign. Jana Stanley is working on a grant for improvements. This may be able to be rolled into the grant.

Departing Member -
Dennis Stevens came to bid us farewell as he embarks on his next adventure in Carson City, Nevada.

Frank Marksman adjourned the meeting at 11:16 am.
