RVGS BOARD MEETING MINUTES
13 April 2026

CALL TO ORDER
Vice President Meghan Thompson called the meeting to order at 9:32 am. In attendance: Meghan Thompson, Rich Miles, Kim Thurman, Anne Billeter, Valerie Sanders, Jeanne Hoadley, Cathy Ullrich, Ann Baracker; guest Katie Haugse; via Zoom Loretta Barker

SECRETARY’S REPORT - see report
2026-19 Rich Miles moved to approve the March Minutes as written. Anne Billeter seconded. Motion carried.
TREASURER’S REPORT - see report
2026-20 Anne Billeter moved to table February’s Treasurer’s report until May. Kim Thurman seconded. Motion carried.
2026-21 Anne Billeter moved to approve the March Treasurer’s report. Kim Thurman seconded. Motion carried.
Valerie also announced that the Scholarship winner has been selected.

REPORTS
NGS - none
President - see report
Vice President - No report
Trustee - see report
Past President - no report. Kim stated that she’s updated the library's bylaws and standing rules. Kim also shared that RVGS might be interested in pursuing promotional items on Axomo. The company can produce a variety of options on demand. She will request to put this on the Board’s May agenda.
Education - See report. Jeanne is verifying dates with speakers for Genealogy Week. 
Library - See report. Anne reported that Midge Dailey and Dorothy Cotton are attending the Phoenix Chamber evening event.
Members interested in attending community events on behalf of RVGS are encouraged to do so.
Membership - no report - forthcoming
Technology - see report. Rich demonstrated the updated website. Discussion ensued about offering recorded classes presented by members beyond 30 days and to members who did not register for the class for a fee. Management may be difficult.
Volunteer - see report. Kim relayed that her coaching experience was very positive. Barbara Northrup also met with a client and reported that the experience was great.
eNews - articles due by the 20th of the month. Lead articles were discussed: Rich, May; Valerie, June; Ann, August; Jeanne, September; Cathy, October; November and December are open.
Rogue Digger - No report

UNFINISHED BUSINESS

Donor Snap - Training postponed until both Frank and Rich are back in town. Kim, Valerie, and Loretta will also be involved. RVGS’ membership data has been uploaded. We will continue with the current membership system until DonorSnap is fully implemented.
RSVP
2026-22 Kim Thurman moved to decline the RSVP volunteer offer. Anne Billeter seconded. Motion carried with one nay.
It was felt that logistics could make this process challenging and could create a divide between “paid” volunteers and RVGS volunteers.

Quilt Book 
2026-23 Loretta Barker moved that we approve the attached contract for the Quilt book:  "Piecing the Past." This motion includes the approval of the signature of Katie Haugse on page 6 of this contract and the approval for Katie Haugse to request a $1,800 check from the balance of the grant from Jackson County Coalition Connection to come out of the Quilt Project funds, #4465. Anne Billeter seconded. Motion carried.
The books will be print-on-demand. Photos are in the process of being inserted. The cost for printing is $2599, with a royalty of $2.45 per copy paid quarterly. The list price of the book will be $25.99. 
Tentative release is September.

60 Anniversary - see Library report. Prizes needed for photo contest.

Changing Banks- Valerie and Kim reported that the data is at the People’s Bank. Anne, Kim, Valerie, and Rich will need to sign in person. Valerie will let signatories know the timeline for signing. Account options were discussed.

New Server - Rich will work with Jeff Bales on the update pending Jeff’s availability. 

NEW BUSINESS

Pens - see President’s report - Currently, no funds in the marketing budget for pens. This might be something to research on Axomo. Pencils were suggested as a more library-friendly option. Tabled to May.
